Processes - Diagram and Document Governance

In addition to authorizing and promoting process diagrams and documents in the web, authors and administrators can now perform a full governance cycle.  This new capability will allow a User with the correct permissions to:

•Manage user and group reviewers

•Request reviews

•Manage user and group acknowledgers

•Request acknowledgements

•Update the owner and author

•Assign draft promoters

•Set default access rights

This new functionality is available on either a single or a scope of diagrams and documents. Further information on diagram and document governance is available in the following online help topics:

Processes - Copy or Move Attachments

When editing a process you can move or copy single or multiple attachments from one object to another. Statement sets (activities only), documents, and data tables can all be moved or copied between activities, flow lines, images and free text boxes.

Processes - Printing a Scope of Diagrams

To allow for offline viewing and hard copy printing it is now possible to export a scope of diagrams in the following formats:

• Microsoft Word

• PDF

• Microsoft PowerPoint

You can choose to export either the draft or master version of the process diagram, and for Word and PDF exports you have the option to include various other diagram details and information.  The Import/Export manager displays successful exports ready for you to download or refer back to at a later date.

Keywords

Administrators and authors can now manage keyword functionality in the web. A User with the correct permissions may be able to:

•Create, rename and delete keywords

•Create, rename and delete keyword groups

•Associate a keyword to a single diagram, document and storyboard

•Search for keywords

•Add and remove keywords from groups

Scorecards

A sub-set of Author Client Scorecard functionality is now available. The same permission types as defined in the Author Client apply in the Web Server. A User with the correct permissions may be able to:

•View and filter Scorecards from the directory page

•Manage the Scorecard and Scorecard folder access rights from the directory page

•Move a Scorecard between folders

•Delete a Scorecard from the directory page

•Create, rename or delete a Scorecard folder from the directory page

Statement Sets

Users with the appropriate access rights can upload a CSV to create a new Statement Set.  Users new to this functionality have the option of either downloading a template or accessing the help via a link. Statement Sets can be uploaded with or without Data Table fields.

A status dialog will inform users whether or not their upload was successful.  If the CSV upload failed, they’ll be able to view the nature and location of the errors, and be informed of the fixes required before attempting to upload it again.  The ‘upload status’ indicator is available on all directory pages.

Storyboards

Storyboards can now be recorded via a web browser using the Process Designer.  A Storyboard is a series of steps that show you how to follow a specific end-to-end process. Administrators and storyboard managers can create, remove, re-order and edit steps, and then preview the storyboard before it’s published to users.

Flow Line Links

Users with the appropriate access rights can now add a link to a flow line in a process.  Flow line links connect the output flow line of one diagram to the input flow line of another diagram located in the process repository. It is possible for a flow line to have multiple links.

When part of a process resides outside of the application you can mark the input or output flow line as externally connected.

Activity IDs

Activity ID numbers will automatically be generated by the application when an activity is created, allowing the process viewers to reference and collaborate on diagram objects. Authors can change the activity ID numbers to help organize their process into a logical sequence.  Additionally, authors have the option to toggle diagram activity ID numbers on or off.

Data Tables

A sub-set of Author Client Data Table functionality is now available. The same permission types as defined in the Author Client apply in the Web Server. A user with the correct permissions may be able to:

•Create a new Data Table - All of the fields that were available in the Author Client are now available in the Web Server.  These have been organized into the following four categories; text, number, multiple choice, or Nimbus specific.

•Manage content in the Data Table directory root, or create folders

•Manage Data Table access rights

•Define access rights to govern who can edit, view and add records to the Data Table when it’s attached to an object such as an activity

•Delete a Data Table from the directory page

•Create, set access rights, delete and move content between folders

•Create a new Statement Set from the directory page, in a folder location if required

•Update the Statement Set properties by adding any one of the following four Data Table types; Statement data table, Statement audit data table, Link data table or a Link audit data table

•View and edit a Statement Set data table from within a Statement definition page

•Manage the Statement Set Stakeholders; Owners, Statement Managers and Audit Managers

•Manage access rights from the Statement Set directory page or within the Statement Set

General

Diagram explorer is now available in Modern mode ‘read only’ view.  With a process in ‘read only’, you can view the hierarchy and navigate through levels without needing to use drilldowns or built-in navigation panels.

Maps and Diagrams

•Diagram authors can view a list of maps and map folders from the Processes page. You can then choose to open either the draft or master version via a link. Authors with the correct permissions can create, rename, delete or move a map into a folder from the processes page using Modern mode.

•A processes search filter has been added to the processes page allowing users to search for processes across folders. The filter results will only display those diagrams you have permission to.

•Diagram authors can create, view, rename, set access rights, and delete process map folders from the processes page.

•Contributors who are also diagram owners can manage authorizers, reviewers and access rights. Additionally, they can request authorizations, reviews and unlock diagrams.

Modern Mode

•A Modern Mode User Tour has been provided to demonstrate the basics of diagram creation, enrichment and guidelines for best practice (UPN methodology).  Users can access the tour any time during map editing, and can navigate forwards and backwards through the tour content as required.

•UPN (Universal process notation) methodology

UPN methodology will be applied to all new and existing process diagrams with a view to assisting and encouraging best practice for new and established users. An activity should contain the following criteria:

•Activity Verb / Noun - What should we do?

•Input - When should we do it?

•Resource - Who should be doing it?

•Output - Why should we be doing it?

A validation message will be offered when editing the diagram, alerting the user to any criteria that’s missing. Users will be prompted to add missing text before moving onto enriching their diagrams.

Additionally, when the user creates a drilldown, the input and output scope is automatically defined by the parent activity, further assisting and encouraging UPN methodology.

The UPN functionality is currently set as default.

•The action of creating a drilldown has been significantly improved. Users are now able to create a drilldown from directly within a process activity, without the need of accessing the activity asset panel.

•Enriching activities has been made simpler; data tables and statement set links can be added to activities from within the Process Designer.

•Authors can edit text directly on a diagram object to enhance process capture.

•Objects can be moved between diagrams within an existing process map.  You can move objects such as activities, flow lines, images and text boxes, from a source diagram to another part of the process map. To move objects, the source and destination diagrams must both be in draft and you must have the required access rights.

•Administrators and statement set managers can access the statement set management console from the navigation bar. This new functionality will allow users with the correct permissions to create, view, rename, delete and manage access rights on statement set folders.  Additionally, it’s now possible to move statement sets between folders.

•When audits are performed against a statement or statement link, the user can edit their own statement or statement link audit record once it has been saved.

General

•The entire Web Server UI has undergone significant re-branding.  The areas reviewed and updated include; CSS, layout, colors, styles, icons, buttons and text.

•Banners have been redesigned to provide a consistent format throughout the product:

•Alert banners highlight an issue that requires the user to understand and act upon before being able to proceed

•Information banners display advice that may be helpful to the user

•Action banners require the user to act upon an option

•Success banners inform users an action has been performed successfully

•The clickable area on calendar buttons has been increased to make it easier for users to select dates for authorizations etc.

•When a user opens a document or diagram to which new feedback or a reply has been added, an indicator is now visible on the feedback icon alerting the user to the new content.

•The search has been enhanced across the product. A user can make changes to a diagram, and a new indexing method is used to update the search capability faster than waiting for SSYNC to be run.
