The Collaboration Console

The Collaboration Console allows administrators, owners and authors to view and manage feedback, reviews, actions and acknowledgement requests for diagrams, documents and storyboards.

 

Acknowledgement Console

Administrators can view the status of all acknowledgement requests in the process repository - from the Manage menu choose Acknowledgement Console. In the console, click a hyperlinked number to view the respective requests.

 

To access the Collaboration Console:

 

1.To access the Collaboration Console for a diagram or document, when viewing the diagram or the document details, from the Manage menu choose Collaboration, or click on the Diagram Control or Document Control toolbar.

Note: To access the Document Details window, right-click the document and choose Details.

 

To access the Collaboration Console for a storyboard, in the Storyboard Edit window, from the File menu choose Collaboration.

Note: To access the Storyboard Edit window, right-click the storyboard and choose Edit. Only acknowledgements and actions apply to storyboards.

 

 

 

 

To filter by user and/or status:

 

You can filter the view by either user and/or status. For example, you may want to view all current acknowledgement To-Dos for a particular user, or all outstanding actions for a diagram.

 

1.Do one of the following:

 

To filter by user, choose <Select User> from the filter drop-down list. The Collaboration Filter window opens. Click Select User and select the user. You can also select to filter by status by selecting or deselecting the statuses that you want to filter by. Click OK to run the filter.

 

To filter by status, choose <Select Status> from the filter drop-down list. The Collaboration Filter window opens. Select or deselect the statuses that you want to filter by. Click OK to run the filter.

 

Note: To reset the current filter, choose <ALL> from the filter drop-down list. To change the current filter options click .

 

Feedback

Create New Topics

Create a new feedback topic.

From the Feedback menu choose Start New Topic.

Reply to Topics

Reply to an existing feedback topic.

Select the topic that you want to reply to and from the Feedback menu choose Reply To Topic.

Delete Topics

Delete a selected feedback topic.

Select the topic that you want to delete and from the Feedback menu choose Delete.

Delete All Topics

Delete all feedback topics for a diagram or document.

Select the parent feedback node, or any topic, and from the Feedback menu choose Delete All.

Create a Change Request from a Topic

Create a change request from a feedback topic and all sub-feedback.

Select the topic and from the Feedback menu choose Submit Feedback as Change Request.

Print a Feedback Topic

Print selected a feedback topic.

From the Feedback menu choose Print Feedback.

Print All Feedback Topics

Print all feedback topics.

From the Feedback menu choose Print All Feedback.

Reviews

Assign Reviewers

Assign reviewers to a scope of diagrams or a document.

From the Reviews menu choose Reviewers.

Schedule a Review

Schedule an ad hoc review for a scope of diagrams or a document.

From the Reviews menu choose Schedule Review.

Sign Off a Review

Sign off a review request. Note that you can only sign off your own review requests.

Right-click the review and choose Sign Off Review.

Actions

Create an Action

Create a new action for a diagram, document or storyboard. More info...

From the Actions menu choose New Action for Diagram/Document.

Update an Action

Update the status of an action. Note that you can only update an action that is assigned to you. More info...

Right-click the action and choose Update Action.

Acknowledgements

Assign Acknowledgers

Assign acknowledgers to a scope of diagrams, a document or a storyboard.

From the Acknowledgements menu choose Acknowledgers.

Request Acknowledgement

Request acknowledgement for a scope of diagrams, a document or a storyboard.

From the Acknowledgements menu choose Request Acknowledgement.

View the Acknowledgement Log

View the acknowledgement log for a diagram, document or storyboard.

From the Acknowledgements menu choose Acknowledgement Log.

Reactivate Last Request

Reactivate the last acknowledgement request and set its status to 'Active'. Note that this applies only if the last acknowledgement request has been completed or canceled.

From the Acknowledgements menu choose Activate Last Request, or right-click the last acknowledgement request in the list and choose Set as Active.

Sign Off Request

Acknowledge a scope of diagrams, a document or a storyboard. Note that you can only sign off a request that is assigned to you.

Right-click the acknowledgement request and choose Sign Off Acknowledgement.

Complete Active Request

Complete an acknowledgement group request. Note that this will remove any outstanding requests from users' To-Do lists.

From the Acknowledgements menu choose Complete active request, or right-click the active acknowledgement request and choose Set as Complete.

Cancel Active Request

Cancel an active acknowledgement group request, available to administrators, map administrators, storyboard managers, owners and authors. Note that this will remove any outstanding requests from users' To-Do lists.

From the Acknowledgements menu choose Cancel active request, or right-click the active acknowledgement request and choose Cancel Acknowledgement Request.

Recreate To-Do

Recreate an acknowledgement To-Do item in users' To-Do lists. This is used when new acknowledgers are assigned. Note that this only applies to active requests and for users that have not yet acknowledged.

Right-click the user or user group and choose Recreate To-Do. To recreate a To-Do item for all users that have not yet acknowledged an active request, right-click the parent acknowledgement node and choose Recreate To-Do.

Resend Acknowledgement Request

Resend an acknowledgement request notification to users. This is used when new acknowledgers are assigned. Note that this only applies to active requests and for users that have not yet acknowledged.

Right-click the user or user group and choose Resend Acknowledgement Request. To resend the request to all users that have not yet acknowledged an active request, right-click the parent acknowledgement node and choose Resend Acknowledgement Request.

Change Due Date

Change the due date for all users or individual users of an active request. Note that this only applies to users that have not yet acknowledged.

Right-click the active acknowledgement request, or an individual user or user group, and choose Change Due Date. To change the due date for all users that have not yet acknowledged an active request, right-click the actual acknowledgement request node and choose Change Due Date.

Add Acknowledgers

Add acknowledgers to an existing acknowledgement request. Note that his option only applies to active requests. A different due date can be specified for new acknowledgers added in this way. Users will be automatically notified and a new request will appear in their To-Do lists.

Right-click the active acknowledgement request and choose Add Acknowledgers.

Remove an Acknowledger

Remove a selected acknowledger from a diagram, document or storyboard. Note that this only applies to active requests and for users that have not yet acknowledged.

Right-click the user and choose Remove Acknowledger.
